Go Japan – Terms and Conditions

Welcome to Go Japan. These Terms and Conditions (“Terms”) apply to your use of our website (www.gojapan.com.au) and any services provided by Go Japan. By accessing or using our website or engaging our services, you agree to be bound by these Terms in full.
These Terms and Conditions outline the agreement between you (the client) and Go Japan, a travel consultancy service offering personalised travel advice and itinerary planning. By engaging our services, you acknowledge and agree to the terms below.
1. Our Role
Go Japan is a travel consultancy and advisory service based in Australia. We specialise in itinerary planning, cultural insights, and destination guidance for travel to Japan. We are not a licensed travel agency or tour operator and do not book or operate tours, cruises, flights, or accommodation ourselves. Instead, we collaborate with licensed Destination Management Companies (DMCs), tour operators, and service providers in Japan to deliver your travel experience.
2. Your Agreement with Go Japan
By using our consultancy services, you acknowledge that:
Go Japan is not liable for the actions, errors, or omissions of third-party providers.
All bookings are made directly with third-party providers either by you or via written permission authorising Go Japan to do so on your behalf.
You agree to the specific Terms & Conditions of any third-party providers used in your itinerary.
3. Deposits and Payment
To begin planning or confirming a proposed itinerary, a non-refundable deposit is required. This deposit is typically 10–15% of your booking value, or $200 per person, whichever is greater. The deposit secures our services and covers time spent planning and liaising with suppliers on your behalf.
In some cases, supplier terms may require a deposit of up to 25%. The base deposit of 10–15% remains non-refundable; however, any amount exceeding 15% may be refundable in the event of cancellation.
The deposit (minimum $200 AUD or equivalent in USD per person, whichever is greater) secures priority services on your behalf, particularly those anticipated to sell out.
Note: This deposit is non-transferable and non-refundable under any circumstances and will be deducted from any applicable refund amount (see Clause 8 below).
4. Booking Confirmations
Once the itinerary is approved and confirmed, bookings are secured directly with Japanese DMCs or local operators. Go Japan acts as an intermediary during this process. You may be asked to approve bookings and provide personal information required by suppliers.
5. Travel Insurance
We highly recommend purchasing insurance at the time your deposit is paid. It should cover trip cancellation, curtailment, delays, medical costs, evacuation, COVID-19-related issues, lost luggage, and supplier failure. It is your responsibility to obtain suitable coverage prior to travel. Go Japan accepts no liability for losses, costs, or disruptions arising from uninsured circumstances or insufficient insurance coverage
6. Cancellations by Client
Cancellations must be made in writing to Go Japan. Refunds, less cancellation fees, are calculated from the date we receive your notice:
Days Before Arrival Cancellation Fee
41 or more No charge
40 to 31 25% of total booking fee
30 to 21 50% of total booking fee
10 or less 100% of total booking fee
No Show 100% of total booking fee
Please note: The non-refundable deposit (10–15% of your booking value or $200 per person, whichever is greater) is retained by Go Japan and will be deducted from the applicable cancellation fee. If your deposit exceeds the cancellation fee calculated by the above scale, no further refund will be made.
Transfers to alternate departure dates are considered cancellations and are subject to the above fees.
7. Cancellations or Alterations by Suppliers
Suppliers may cancel or alter services due to weather, low participation, unforeseen events, or operational needs. Go Japan will communicate changes to you as soon as possible. Where possible, alternative arrangements or supplier credit/refund options will be offered.
Refunds, if issued, will always exclude the non-refundable deposit and any unrecoverable supplier costs. Refunds are subject to the terms and discretion of the individual suppliers.
8. Force Majeure
In the event of a Force Majeure (unforeseeable circumstances beyond our control), including but not limited to:
Natural disasters (earthquake, flood, typhoon)
War, terrorism, riots, or civil unrest
Government regulations, border closures, or pandemics
Airline or supplier cancellations due to emergency
Strikes or transportation disruptions
Go Japan and its suppliers may alter, postpone, or cancel parts of the itinerary without liability. If services are cancelled:
Go Japan will assist in negotiating refunds or credits with suppliers where possible.
Any refund issued will be less the non-refundable deposit and any non-recoverable costs incurred by suppliers.
Refunds are not guaranteed in Force Majeure events, particularly where suppliers are unable to reimburse Go Japan.
Travel insurance should be taken out to mitigate financial losses in these circumstances.
9. Price Variations and Currency Fluctuations
Prices quoted are based on supplier rates at the time of planning and are subject to change due to currency fluctuations, tax increases, or supplier pricing adjustments. If prices increase after you have paid a deposit, we will notify you. You may:
Accept the price increase and continue the booking.
Request to modify your itinerary to reduce cost.
Cancel your trip and request a refund less the non-refundable deposit and any non-recoverable supplier costs.
Refunds, if issued, will always exclude the non-refundable deposit and any unrecoverable supplier costs.
10. Accuracy of Itineraries
While every effort is made to ensure accuracy, Go Japan is not liable for typographical errors, changes by suppliers, or schedule changes after confirmation. Final travel documents will include updated details.
11. Client Responsibilities
You are responsible for:
Ensuring your passport is valid (with at least 6 months validity)
Meeting visa and entry requirements
Providing accurate personal information for bookings
Complying with local laws and customs
Respecting cultural etiquette as advised
Disruptive or unlawful behavior may result in exclusion from activities or termination of services, at the discretion of suppliers or Go Japan, without refund
12. Limitation of Liability
Go Japan is not liable for injury, loss, delay, or damage arising from:
Acts or omissions of suppliers
Force Majeure events
Personal negligence or failure to follow instructions
Our role is advisory; all bookings and services are delivered by licensed third parties. You agree not to hold Go Japan liable for any claims arising from supplier services.
13. Complaints or Disputes
If issues arise, please raise them during your trip so we can assist in real time. Complaints must be submitted in writing within 14 days of returning. We will liaise with suppliers to seek resolution, but cannot guarantee outcomes beyond our control.
14. Governing Law and Jurisdiction
These Terms and any disputes arising from their application shall be governed by the laws of the State of Victoria or Queensland, Australia, depending on the location of service delivery or client engagement. For international coordination, Australian law applies. Any legal action must be brought in a court of competent jurisdiction in Victoria, Queensland, or as mutually agreed.
